City Fertility is seeking a compassionate and customer-focused Patient Services Administrator to deliver exceptional care and support to patients, clinicians and internal teams. 

This is a front line role supporting patients, clinicians and internal teams across both City Fertility and First Step Fertility. While primarily based in Parramatta at our First Step Fertility location, this role will also provide support across other Sydney locations as required.

Job Description

The Patient Services Administrator plays a key role in delivering high quality, patient centred service.

You will be managing appointments, supporting billing processes and ensuring a calm and professional environment.

This role requires a confident communicator who can manage sensitive situations with empathy and discretion.

Working Across Locations & Brands 

This role is primarily based in Parramatta, however flexibility is required to support other clinic locations when needed, including Liverpool, Campbelltown, Miranda and Gregory Hills.

You may also be required to work across both City Fertility and First Step Fertility services, gaining exposure to different patient pathways and treatment models.

Key Responsibilities 

  • Provide exceptional customer service to patients, clinicians, and internal departments 

  • Manage appointment bookings, patient registration, and day hospital coordination 

  • Respond to patient enquiries with empathy and professionalism 

  • Quote costs and process Medicare and Private Health claims 

  • Maintain accurate records using practice management software 

  • Support patients through their IVF journey with clear communication and care 

Skills and Experience

  1. A minimum of 1–2 years’ experience in medical reception or customer service within a healthcare environment. Experience supporting OBGYN clinicians will be highly regarded 

  1. Thorough understanding of Medicare and Private Health billing 

  1. Intermediate to advanced proficiency in MS Office, and familiarity with Clinic2Cloud, Genie, or similar practice management systems 

  1. An exceptional communicator, with strong interpersonal skills and the ability to manage sensitive conversations 

  1. A commitment to patient care, teamwork and continuous improvement, aligned with City Fertility’s values. 

  2. Ability to work across multiple locations when required.
