We are seeking an experienced Clinician Secretary/Practice Manager to build and lead the administration activities of our Rainbow Fertility clinics, bringing together people leadership, operational expertise and a genuine commitment to patient-centred care. This role is office-based in our Fertility Advice Centre, Newstead Brisbane and will be liaising with General Practitioners and clinical teams across the business both face-to-face and remotely.
Position Purpose
As Clinical Secretary/Practice Manager, you will play a pivotal role in supporting our General Practitioners and the National Manager - Fertility Advice Centre to ensure our Rainbow Fertility clinics operate seamlessly, with empathy, inclusion and excellence at the heart of everything we do. You will manage General Practitioners schedules, coordinate patient interactions and provide high-level administrative and operational support that enables the delivery of exceptional fertility care.
You will be a trusted point of contact, anticipating needs, resolving issues proactively and ensure every detail is managed with precision and discretion. This role blends organisational expertise with compassionate communication, creating an environment where patients feel respected, included and supported and where clinical and administrative teams work in harmony. By maintaining strong governance and standards, accurate billing processes and efficient workflows, you will contribute to the success of City Fertility and make a meaningful difference in the lives of patients and staff alike.
Key Responsibilities
- Manage the General Practitioners diary, appointments and professional commitments
- Coordinate patient communications and treatment schedules
- Prepare documentation, reports, and correspondence for the General Practitioner(s) and National Manager – Fertility Advice Centre.
- Act as the first point of contact for General Practitioner-related queries and escalate issues appropriately
- Liaise with the National Manager – Fertility Advice Centre to align clinic workflows and patient flow
- Ensure accurate Medicare billing, invoicing, and reconciliation for the General Practitioner’s patients
- Assist with banking, stock control, and consumables management as required
- Maintain compliance with privacy, healthcare legislation, and organisational policies
- Support the Patient Services team functions as required, ensuring a collaborative and flexible approach to clinic operations
- Support onboarding and orientation of new staff as directed by the National Manager - Fertility Advice Centre
- Escalate risks, incidents, or non-compliance promptly to the National Manager – Fertility Advice Centre
You will bring…
- Minimum 3 years' experience in a medical practice or healthcare management, providing high quality administrative and executive support to clinicians with the ability to work autonomously and effectively with remote teams.
- Relevant qualifications in practice management, business or a related discipline including strong organisation skills and demonstrated confidence with clinical databases and scheduling systems. Clinic to Cloud experience highly regarded
- Strong knowledge of healthcare administration, including Medicare billing, health fund processes and financial reporting
- Proven leadership, communication and interpersonal skills, with a compassionate approach. A demonstrated commitment to inclusive, respectful and culturally safe care with an understanding of LGBTI terminology and inclusive communication practices.
- Willingness to develop specialised fertility knowledge, donor programs and relative legislative and ethical requirements
