Job Description

We’re looking for a Project Administrator who makes things happen.

As part of our national Operations team, you’ll bring order, clarity, and momentum to a diverse mix of initiatives that help enhance care for individuals and families on their fertility journey.

 

Position Purpose

The Project Administrator is a full time 12-month fixed term contract and plays a pivotal role in supporting the successful delivery of national projects designed to enhance patient experience, operational efficiency, and internal workflows across City Fertility. Sitting at the intersection of multiple functions, this role coordinates project activities, maintains clarity across tasks and timelines, and supports effective communication to keep initiatives progressing smoothly. Guided by our values —Compassion, Respect, Commitment, Quality, and Communication the Project Administrator helps ensure our teams can deliver meaningful improvements for patients nationwide.

 

Key Responsibilities

  • Provide coordinated administrative and operational support across national projects
  • Maintain accurate project boards in Monday.com or similar project management systems
  • Support project planning by breaking down initiatives into actionable tasks
  • Track progress, follow up with task owners, and support timely delivery
  • Identify and escalate risks, delays, or issues to project leads
  • Act as a central point of contact for project communication across multiple departments
  • Coordinate meetings, prepare agendas, take minutes, and distribute action items
  • Assist with rolling out new systems, processes, and initiatives across the organisation
  • Support testing, training coordination, and go‑live activities
  • Collect stakeholder feedback to support continuous improvement
  • Maintain project documentation, reports, timelines, and risk registers
  • Prepare regular updates and dashboards to support informed decision‑making
  • Support development and maintenance of standardised templates and project processes

What are we looking for?

  1. Demonstrated experience in project administration, coordination, or business support, with strong ability to manage multiple priorities
  2. Excellent organisational, timemanagement, and followup skills with high attention to detail
  3. Strong written and verbal communication skills and confidence engaging professionally with diverse stakeholders
  4. Proven ability to use project management systems (e.g., Monday.com) to track tasks and deliverables
  5. A collaborative, proactive, solutionsfocused approach aligned with our values of Compassion, Respect, Commitment, Quality, and Communication
