Job Description

At City Fertility, every role contributes to something extraordinary. As a Central Donor Administrator, you will support donors, recipients, and families through some of the most emotionally significant moments of their lives—ensuring care is delivered with empathy, accuracy, and respect. This role is a 5-month maximum term contract to cover parental leave.

Position Purpose

The Central Donor Administrator plays a vital role in supporting donor and surrogacy programs across City Fertility. Working within the Central Donor Team, this role ensures donor cycles are coordinated efficiently, ethically, and sensitively—while maintaining compliance with legislation, regulatory standards, and internal protocols.

Through high-quality administration, clear communication, and genuine care, you will help deliver seamless, patient-centred experiences for donors, recipients, clinicians, and internal teams nationwide.

Key Responsibilities

  • Provide comprehensive administrative support across donor and surrogacy programs
  • Coordinate communication between donors, recipients, clinicians, and clinics
  • Register and manage donor programs in line with legislation, NHMRC and RTAC standards
  • Prepare and maintain accurate documentation for sperm, egg, and embryo donors
  • Maintain confidential donor and recipient records across digital and hard-copy systems
  • Manage diaries and appointments for donor clinics and consultations
  • Respond to patient enquiries via phone and email with empathy and professionalism
  • Support donor billing processes and communicate financial information clearly
  • Coordinate access to counselling, interpretation, and donor support services
  • Assist with audits, compliance activities, reporting, and continuous improvement initiatives
  • Contribute to donor education sessions and internal training activities
  • Provide cross-site or interstate support when required

What we are looking for?

  1. Demonstrated experience in administrative and customer service roles, ideally within healthcare or regulated environments
  1. Strong organisational skills with the ability to manage competing priorities accurately
  1. Excellent interpersonal and communication skills with a compassionate, patient-focused approach
  1. Proficiency in Microsoft Office and database systems, with adaptability to new platforms
  1. Commitment to ethical practice, compliance, quality standards, and continuous improvement
