About the Opportunity
We are seeking an experienced and compassionate Doctor’s Secretary to support our busy fertility specialists at our Claremont clinic. This vital role ensures that our clinicians are supported seamlessly so that patients receive informed, transparent, and empathetic care at every stage of their fertility journey.

What You’ll Be Doing
As a Doctor’s Secretary, you will take ownership of the smooth operation of the specialist rooms and provide high-level administrative and patient support. You will be the first point of contact for patients ,and the right hand of our specialists, ensuring everything runs like clockwork.

Your responsibilities will include:

  • Managing the daily operations of the consulting rooms, including preparing rooms, organising files and ensuring clinics run efficiently
  • Facilitate consulting sessions including welcoming patients, answering phone calls and managing appointments
  • Coordinate communication with referring doctors, specialists, and other healthcare professionals
  • Respond to patient enquiries via phone, email, and in person in a timely and empathetic manner
  • Manage specialist calendars and ensure appointments are scheduled, confirmed, and documented accurately
  • Maintain and update electronic and physical medical records with precision and confidentiality
  • Process patient billing, receipting, and Medicare online claims for consultations
  • Perform general administrative duties including mail distribution, document scanning, and file retrieval
  • Supporting the Patient and Clinic Services Manager and specialist team with administrative tasks as required

What You’ll Bring

  • At least 2–3 years' experience in a busy medical or specialist practice
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent verbal and written communication skills
  • A warm, professional, and patient-focused approach
  • High attention to detail and accuracy
  • Confidence using practice management software (Genie experience preferred) and Microsoft Office (Outlook, Excel)
  • Ability to work autonomously and as part of a supportive team
  • A polished and professional presentation
  • Willingness to provide occasional cover during staff leave or additional clinics
